When you need a credit note

Issued invoices are locked. To reduce an amount, refund a client or reverse an invoice, you create a credit note (Hyvityslasku in Finnish, Rechnungskorrektur in German). It refers to the original invoice and reduces what the client owes.

Create a credit note

  • On the invoice page, select Create credit note (or More actions → Create credit note…).
  • Choose Full credit, or Some lines and set the quantity and unit price to credit for each line. VAT rate and tax treatment come from the original.
  • Add a reason. It is printed on the credit note.
  • The dialog shows what this credit note credits, what is left on the invoice and what happens to the original. Select Create credit note.
  • The credit note is created as a draft. Finalize it to give it a number from your normal invoice sequence, then send it like an invoice.

What happens to the original invoice

  • Full credit of an unpaid invoice: the original becomes Cancelled.
  • Partial credit: the original stays open for what is left.
  • Credit of a paid invoice: the original stays Paid. Refund the client yourself.
  • You can’t credit more than what is left to credit on the invoice.

What a credit note shows

A credit note is titled CREDIT NOTE / HYVITYSLASKU / RECHNUNGSKORREKTUR and names the original invoice’s number and date, also in an e-invoice. It has no payment QR code, bank barcode, pay link or due date, and no reminders are sent for it.

Cancel instead?

Cancel invoice (under More actions) is for an issued, unpaid invoice that should not exist at all. The number stays used and the invoice is kept, marked Cancelled. For refunds and changed amounts, a credit note is the right document.
