Record a payment
When money arrives, select Record payment on the invoice page (or in the row menu on the Invoices list). Enter the amount, the payment date and the method: bank transfer, card, cash or other. Partial payments are fine — the invoice shows what is left to pay and becomes Paid once payments cover the total. If you recorded a payment by mistake, remove it and the invoice is open again for that amount.
Card payments
Connect Stripe under Invoice settings → Getting paid → Card payments. The money goes straight to your own Stripe account. Invoices and emails can then carry a pay link. The link always charges what is currently left to pay, and a link printed on a PDF keeps working. A card payment is recorded on the invoice automatically; bank debits can take a few days to confirm. Credit notes, paid and cancelled invoices can’t be paid by card.
The client link
From More actions → Client link…, create a private page for this invoice. Your client can view it, download the PDF that was sent and pay — by bank transfer with your IBAN, the payment reference and a QR code, or by card when card payments are connected. The link works for 180 days; Regenerate replaces it and Revoke switches it off. When the client opens it, it shows in the activity list. Emails include the link when “Online invoice link” is on.
Payment reminders
To remind a client now, select Send reminder on the invoice. The reminder goes to the client in the invoice language with the open amount, the pay link and the invoice PDF.
To remind automatically, turn on “Send reminders automatically” under Invoice settings → Getting paid → Payment reminders and set how many days after the due date each reminder goes out (7 and 21 days to start with). Automatic reminders are off by default. They go out at most once a day per invoice, only for invoices you sent from numwisely, and never for credit notes, paid or cancelled invoices.
Late payment interest
Under Invoice settings → Getting paid → Late payment interest, set the yearly rate printed on your invoices. Leave it empty to print the statutory rate for your country — in Finland the reference rate plus 7 percentage points, in Germany the base rate plus 9 points for business clients. The statutory rates change twice a year.
Payment references
Each invoice gets its payment reference when it is finalized, and it never changes. The type follows your bank account: a Finnish IBAN gets a Finnish reference number (viitenumero), any other IBAN an international RF creditor reference. Every invoice and credit note has its own reference, so a payment can always be matched to the right document.
