Invoices
Send an invoice
Email the PDF or send an e-invoice, test it on yourself first, and choose what the client receives.
Updated: 2026-10-07
Before you start
- An invoice ready to finalize, or already issued
- Email sending set up: your own mail server, or a verified business (see “Invoice sending and custom SMTP”)
Open related features
Open the send dialog
On the invoice page, select Send invoice. You can also send a draft: sending finalizes it first, so it gets its number and is locked. A sent invoice can be sent again from More actions → Send again…; this doesn’t change its status. Paid and cancelled invoices can’t be sent.
Choose how it’s delivered
The dialog starts with “How it’s delivered”.
- E-invoice — goes straight into the client’s accounting system over Peppol (or Finvoice in Finland), with your PDF attached for reference. Available when you have connected e-invoicing under Invoice settings → Delivery and the client can receive e-invoices. When it isn’t available, the reason is shown. An e-invoice can’t be recalled once delivered.
- Email with PDF — works for every client.
Check the email
The email is written in the invoice language and you can edit it before sending.
- From: your own address when your mail server is connected and verified; otherwise numwisely’s address with the name “<your business> via numwisely”. Replies go to you.
- To and Cc: up to 10 addresses each. “Send me a copy” adds your own address.
- Subject and message: filled in for you; Reset brings the standard text back.
- Attachment: the PDF, named after the document and its number, for example Lasku_2026-014.pdf or Rechnung_2026-014.pdf.
- Pay-now button: a card payment link, when card payments are connected. Never on a credit note.
- Online invoice link: the client link where the client can view, download and pay the invoice.
- For a German business client of a German business, an XRechnung file is attached as well when the invoice data is complete.
Send yourself a test first
Select Send a test to me. The test goes only to your own account email address and nothing changes on the invoice — a draft stays an unnumbered draft. Check that the PDF opens, the details are right and the reply-to address is one you read.
After sending
The invoice is marked Sent and the activity list records who it went to and from which address. The PDF that was sent is stored, and later downloads, resends, reminders and the client link all use that exact copy.
If your own mail server rejects the email, nothing is sent and the dialog tells you why — for example that the login failed. It goes out through numwisely instead only if you turned on “Send through numwisely instead” under Invoice settings → Delivery.
A daily sending limit applies (50 emails a day through numwisely, more through your own mail server).
Common mistakes
- Sending to a client email nobody reads: check the address on the client before sending.
- Expecting to edit after sending: a sent invoice is locked — use a credit note.
- Sending the same invoice twice by email and as an e-invoice: the client receives it twice. Pick one channel.
